This instution is run by Creative Education Foundation Moodbidri (R.) (CEF). An educational organization formed by a group of subject experts who have served in reputed institutions in Moodbidri and Mangaluru.
Being a teachers’ group, CEF has been fulfilling the dreams of many aspiring minds to become professionals such as Doctors, Engineers, Architects, CAs and Scientists, for many years.
In addition to the proven track record in the field of teaching, CEF teachers are also recognized as authors of many competitive examination books and they are also the motivational trainers.
Objective:
To connect with students, teachers, and parents of the organisations via WhatsApp, it was necessary to provide a single, organised location for all communication. The organisation has many branches throughout Karnataka, thus the amount of data is enormous. Manually creating groups and broadcasts was growing tiresome, and occasionally incoming chats were overloaded.
Challenge:
– Over all contacts exceeds 10,000+ numbers who are split across various parts of Karnataka
– It’s almost impossible to maintain these many chats in one single WhatsApp account so the institution had multiple accounts for the respective brances and this was again adding on extra burden on the reply management
– The client also wanted to send out automated transactional / informational / confirmational messages from the School Management System which was not possible in traditional WhatsApp
– The client also wanted to load and manage all their contact in 1 single dashboard and send any news / updates to all the contacts in 1-click
Solution:
Onboarded them on WhatsApp Business API Service.
– To handle the large number of contacts efficiently, we utilized the WhatsApp Business API, which allows businesses to manage a higher volume of chats compared to traditional WhatsApp accounts. This enabled the client to consolidate all their contacts in one centralized dashboard.
– By implementing the WhatsApp Business API, we eliminated the need for multiple WhatsApp accounts for each branch. Instead, the client could manage all communications from one main WhatsApp Business account, simplifying reply management and reducing administrative burden.
– The WhatsApp Business API offers advanced automation capabilities, enabling the integration of the School Management System with WhatsApp. As a result, the client could automatically send transactional messages like fee reminders, attendance updates, and confirmations, enhancing communication efficiency and reducing manual efforts.
– With the WhatsApp Business API, we developed a customized dashboard for the client to load, organize, and manage all their contacts in one place. Additionally, we integrated a user-friendly interface that allowed the client to send news updates, announcements, and other information to all contacts with just one-click.
Results:
By leveraging the WhatsApp Business API services, we provided the client with a comprehensive solution to manage their extensive contact list, streamline communication across branches, and automate various types of messages.
The centralized dashboard and bulk messaging capability simplified their communication process, leading to enhanced engagement with students, parents, and staff.
Ultimately, the implementation of WhatsApp Business API services optimized the institution’s communication channels, ensuring efficient and effective interactions with their diverse audience in Karnataka.
